NDIS provider comparison checklist

Choosing a provider is a personal decision. Compare how the service will work in everyday life, what it will cost, and whether the provider can meet the person’s needs and preferences. A directory profile is a starting point; confirm current details with the provider and your plan manager or NDIA contact where needed.

1. Confirm the service fits

  • Does the provider offer the exact support you are seeking?
  • Which suburbs do they serve, and can they support your preferred days, hours and location?
  • Who is likely to provide the support? Ask about introductions, worker changes and backup arrangements.
  • Can the provider adapt communication, language, cultural, sensory or accessibility preferences?
  • What is the current wait time and when could support begin?

2. Check registration and funding fit

Ask whether the support you want requires a registered provider for your funding arrangement. In general, NDIA-managed funding must be used with registered providers; plan-managed and self-managed participants can usually choose registered or unregistered providers, with exceptions for some supports. Check the current rules for your situation and confirm that the provider’s registration covers the support being offered.

You can search the NDIS Commission register and read the NDIS guide on how to find and choose a provider. A registration entry is one check; it does not confirm current availability, quality or suitability for you.

3. Ask for the full cost

  • What is the rate for each support and how is time billed?
  • Are travel, non-face-to-face work, cancellations, weekends or public holidays charged?
  • Could there be an out-of-pocket cost? Ask for the amount and reason in writing.
  • How will invoices be sent and what information will be shown?
  • Does the price fit your available funding and the current NDIS pricing rules that apply to you?

Ask your plan manager or NDIA contact to clarify funding questions. Do not assume that a profile description means a support will be funded in your individual plan.

4. Read the service agreement

Before support starts, ask for a written agreement you can read at your own pace. Check the supports, rates, payment arrangements, travel or cancellation charges, expected schedule, notice period, how to make changes, and how either party can end the agreement. Ask questions about any wording you do not understand. The NDIS explains what to discuss when choosing a provider.

5. Understand safety and communication

  • Who do you contact if a worker is late, unavailable or something changes?
  • How are complaints, incidents and feedback handled?
  • What training, screening and supervision apply to the workers who will support you?
  • How will the provider protect your privacy and share updates with you or your chosen representative?
  • Can you choose how information is communicated and who is included?

6. Compare more than a profile

If possible, speak with two or more providers and compare the same questions. Take notes or ask a trusted person to join the conversation. You do not have to decide during the first call, share your whole plan, or accept an offer straight away. Check our questions to ask a provider, Care4AU verification information and guide to choosing support.

Questions to ask on your first conversation

You could say: “I’m comparing options for [type of support] in [suburb]. Can you explain your availability, who would provide the support, the full cost and how your service agreement works? I would also like to understand how you handle changes or concerns.”

Care4AU requests are free and do not commit you to a provider. Use our free support request when you are ready. Always confirm current details directly before deciding.
